HireRosterly Privacy Policy

1. Who this policy applies to

HireRosterly is a workforce-management service used by organizations and their authorized users. If your employer or organization provides your HireRosterly account, that organization controls the employee information it enters and determines how the Service is used. For questions about your workplace data, contact your employer or organization first.

2. Information we process

Depending on the features enabled by your organization, the Service may process:

• Account and identity information, such as your name, work email address, role, employee identifier, profile image, and login credentials.
• Employment and profile information, such as department, designation, work contact details, joining date, emergency-contact details, and other information your organization adds to your profile.
• Workforce records, such as attendance, working hours, check-in and check-out times, leave, remote-work requests, payroll-related records, loans, bonuses, gratuity, and employment contracts or other documents uploaded to the Service.
• Location information, including latitude, longitude, and location accuracy when you choose to provide location for supported workforce or attendance features.
• Communications, including messages and related information exchanged through the in-app chat feature.
• Service and session information, such as authentication tokens stored in your browser or app to keep you signed in and protect access to your account.

3. How we use information

We use personal information to provide and maintain the Service, authenticate users, administer organization accounts, manage workforce and attendance features, process requests and documents, enable authorized communications, provide support, protect the Service, investigate misuse, and comply with applicable legal obligations.

4. Location information

HireRosterly only uses location information when a user enables or uses a feature that requests it, such as a location-based check-in, check-out, or profile-location update. Location information is used to provide that feature to the user and their authorized organization. You can decline location permission in your device settings; however, location-dependent features may then be unavailable.

5. How information is shared

We do not sell personal information. Information may be shared with your authorized organization and its authorized administrators, HR personnel, and managers as necessary to operate the Service. We may also share information with service providers that help us host, support, secure, or deliver the Service, and when required by law or necessary to protect rights, safety, or the Service.

6. Retention and security

We retain information for as long as needed to provide the Service, meet the requirements of the organization that controls the account, resolve disputes, and meet legal obligations. We use reasonable organizational and technical safeguards designed to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

7. Your choices and requests

You may be able to update certain profile information through the Service. To request access, correction, deletion, or another privacy-related action, contact your organization first. You may also contact IQ Center BWP using the details below. We may need to verify your identity and coordinate with the organization that controls your account before fulfilling a request.

8. Children

HireRosterly is intended for business and workplace use and is not directed to children. We do not knowingly collect personal information from children through the Service.

9. Changes to this policy

We may update this Privacy Policy when the Service or applicable requirements change. We will post the updated version on this page and revise the “Last updated” date.
